Frontdesk: Clients & Prospects Overview

The Clients & Prospects section helps you manage all customer profiles, enquiries, and marketing leads in one place. Track new prospects, review client details, assign leads, and follow up on enquiries captured from your Service Store.

Overview

The Clients & Prospects page in the Frontdesk is your CRM hub—designed to help you understand who your customers are, who your potential customers might be, and how they engage with your business. From online enquiries to RSVP submissions, every interaction is captured and organized to streamline communication and follow-ups.


Clients vs Prospects

Clients

Clients are individuals who:

  • Have created an account

  • Have made at least one booking or purchase

  • Have active or past subscriptions, class packs, programs, camps, or party bookings

Clients appear under Clients → All Clients and are grouped into:

  • Account Created

  • Active

  • Inactive


Prospects

Prospects are potential customers who:

  • Submitted your Website Enquiry Form

  • Filled out a Birthday RSVP Form

  • Were manually added as a lead

  • Have not made a purchase yet, but have shown interest

Prospects appear under Clients → Prospects and are grouped into:

  • Lead

  • Won

  • Lost

  • Unqualified

You may assign prospects to team members for tracking and follow-up.


Prospects Settings (Offers & Promotions)

At the top right of the Prospects page, click the Settings (⚙️) icon to configure your lead capture forms.

1. Enable Website Enquiry Form

Turns on the “Message Us” enquiry form on your Service Store.

2. Offers & Promotions

When enabled, you can customise:

  • Offer label (e.g., First-time offer 50% off)

  • Offer message (e.g., Are you interested in 50% off your first subscription?)

  • Offer acceptance label (e.g., Yes, send me a text)

Enabling this setting displays offer prompts on:

  • The Message Us form

  • The RSVP form

If a prospect checks the offer box, they appear as “Yes” under the Offers column in the Prospects table.


Where Offers Appear

1. Message Us Form

Visitors filling out the enquiry form on your Service Store will see:

  • Your offer message

  • A checkbox to accept the promotion

This helps capture marketing leads directly from general enquiries.


2. Birthday RSVP Form

Guests responding to an RSVP will also see the promotional offer section at the bottom of the form.

If they accept, their interest is recorded in the Prospects table.


Prospects Table Overview

For every prospect, you can view:

  • Created On date

  • Full Name

  • Email

  • Phone

  • Status (Lead, Won, Lost, etc.)

  • Assigned To

  • Message submitted

  • Source Type (Enquiry Form, RSVP, Manual)

  • Source URL

  • Offers (Yes/No)

You can:

  • Add filters

  • Create new views

  • Assign leads

  • Convert prospects to clients

  • Update status manually


Create a Lead Manually

Click Create a Lead and enter:

  • First & Last Name

  • Email

  • Phone

  • Message from prospect

  • Assigned team member

  • Notes

  • Source

  • Source URL

Useful for phone enquiries, walk-ins, or offline leads.


How the Offers Workflow Helps Your Business

  1. Offer is enabled in settings

  2. Appears on enquiry and RSVP forms

  3. Prospect submits form + accepts the offer

  4. Lead is added to the Prospects table with Offer = Yes

  5. Your team follows up to convert the prospect to a client

  6. Once they purchase, mark them as Won

This streamlines marketing, increases conversions, and helps your staff focus on high-intent leads.
