The Frontdesk Calendar provides a real-time view of all classes, programs, camps, parties, and appointments. It centralizes attendance, check-ins, make-ups, alerts, and roster actions for day-to-day operations.

Overview

The Calendar is your operational command centre for managing schedules and attendee activity. It displays all upcoming sessions in Daily and Weekly views, allowing staff to quickly check in clients, track attendance, manage no-shows, and take schedule-level actions—all in one place.


Key Features

1. Monthly, Weekly & Daily Views

  • Switch between Monthly View, Week View and Day View depending on your workflow.

  • See upcoming classes, camps, parties, colour-coded by booking status and the service colour tooltip.

2. Real-Time Rosters

Click any schedule to open the Roster, which shows:

  • List of attendees

  • Attendance status (checked-in, booked, no-show)

  • Waitlisted clients

  • Payment method availability

  • Add-on purchases

  • Notes and alerts

3. 1-Click Check-In & No-Show Marking

  • Instantly check in attendees

  • Mark clients as no-show

  • Auto-schedule make-up classes for no-shows (if enabled)

4. Waitlist Management (Inside Roster)

  • View clients on the waitlist

  • Move waitlisted clients into the class if a slot opens

  • Remove or reorder waitlist entries

5. Payment Alerts

Icons appear for:

  • Missing payment methods

  • Failed payments

  • Delinquent auto-pay subscriptions

Admins can open client profiles directly from the roster to resolve issues.

6. Edit or Cancel a Schedule

From the roster menu (three dots), you can:

  • Edit class time

  • Remove a schedule

  • Cancel a session

  • View orders

  • Switch a client to another session

7. Send Emails from Calendar

Email all attendees, waitlisted clients, or cancelled participants directly from the schedule.
