Create a Camp

Set up Camps to offer limited-time or seasonal programs with flexible schedules and tiered pricing.

Steps to Create a Camp

Step 1: Access the Camp Setup

  1. From your Dashboard, go to Services → Camps.

  2. Click Create a Camp.
    You’ll be taken to the creation form.


Step 2: Basic Details

You can personalise your Camp to make it stand out on your Service Store.

  1. CampTitle:
    Enter a descriptive name for your event (e.g., Summer Swim Camp or Soccer Skills Clinic).

  2. Camp Description:
    Add a brief summary of what the camp includes.

    Example: “A 5-day summer program focused on improving swimming techniques and endurance.”

  3. Camp Colour:
    Choose a colour to easily identify your camp on your Frontdesk Calendar.

  4. Upload Image:
    Add a photo (PNG, JPG, or SVG, under 2MB) to make your camp listing visually appealing.


Step 3: Camp Details

Provide the core information about where and how your camp runs.

  1. Add Location:

    • Choose In-person or Online.

    • Add the full address (e.g., 395 Santa Monica Place, Los Angeles, CA, 90401).

  2. Add Staff:
    Assign your instructors or staff members.
    You can also add Trainer tags to categorise instructors.


Step 4: Packaging & Pricing

Camps can have tiered pricing based on sessions or options.

  1. Child Limit:
    Set the maximum number of attendees allowed for each session (e.g., 20 participants).

  2. Add a Base Price (e.g., USD 100).

  3. Click + Add Pricing Option to create multiple tiers.

    Example: For example, if a person purchases 1-5 schedules, they'll get it at a basic price of $60. If they purchase 6-10, the price drops to $55. For bulk purchases of more than 11, the price is $50.

💡 Tip: Offering multiple pricing tiers helps attract clients with different commitment levels.


Step 5: Camp Schedule

Set when your camp will be available and recurring.

  1. Select Availability:

    • Start Date: The first day of your camp.

    • End Date: Choose Never for ongoing camps or a specific end date for fixed events.

  2. Select Recurrence:
    Choose Custom days of the week to specify which days your camp runs.

  3. Add Schedule:
    Define class timings for each day.

    Example: Sunday → 6:00 AM – 7:00 AM
    You can add up to six sessions per day.


Step 6: Booking Window

Control how early or late clients can book.

  • Booking Window Opens: e.g., 6 Months before start.

  • Booking Window Closes: e.g., Start of schedule.

This ensures you receive timely sign-ups while managing last-minute registrations effectively.


Step 7: Cancellation Policy

Customize how cancellations are handled.

  1. Toggle Allow Cancellation.

  2. Choose when clients can cancel:

    • At any time

    • Before the start of the schedule (set a specific number of days, e.g., 30 days before start)

  3. Add a Cancellation Policy message.

    Applicability: Applies to all bookings made through Omnify.
    Cancellation: Terms depend on your internal policy. Clients should review details before booking.


Step 8: Add-ons

Enhance your Camp with add-ons like meals, merchandise, or extras.

  • Example: Custom Cake or Equipment Rental

  • Clients can add these to their booking for convenience.


Step 9: Additional Settings

Filters

  • Use Parent and Child Filters to categorise your camps for better search visibility.

    Example: Parent Filter → Sports, Child Filter → Swimming.

Custom Email Content

  • Enable Custom Email Content to add personalised confirmation details.

    Example: “Please arrive 10 minutes early. Bring your own water bottle and swim gear.”

External SKU ID

  • Assign a unique SKU ID for tracking or reporting purposes.

Age Restrictions

  • Set Minimum and Maximum Age for participants.

    Example: Minimum: 6 years, Maximum: 14 years

Attendance & Credit Options

  1. Automatically Issue Credits:
    Automatically grant credits to attendees marked absent.

    1. Limit Credits:
      Restrict credits to this specific camp.

    2. Allow Credits Across Camps:
      Permit clients to use credits interchangeably across different camps.


Step 10: Publish Your Camp

Once all details are complete, click Publish at the top right.
Your Camp will now appear on your Service Store for clients to view and book.

  • Use clear, attractive names for your camps.

  • Offer tiered pricing to increase flexibility and sales.

  • Set realistic booking and cancellation rules to manage capacity smoothly.

  • Use custom email content to share reminders or required items with attendees.

  • Keep age limits and attendance options accurate for family or youth programs.

Your Camp is now live and ready to accept bookings.
Clients can easily register online, choose their preferred dates, and manage their participation from your Omnify Store.
